The 'Find Similar Scans' page allows you to find and sort scan result matches for similarly matching stone IDs. All stone IDs that contain the text entered into the Stone ID Field anywhere within the stone ID will return matching rows. For example, an entered stone ID of 123 will return matches such as st0123, 9012363-e, 123123, and 123. Matching rows with stone IDs such as 1223 for this example or any stone IDs that do not contain the characters in consecutive order will not be returned.

The 'Scan Results' page allows you to create very specific reports for scans.
The report content and sort order is controlled by entering filter information.
Multiple filters may be selected at the same time.
For example, a report can be filtered by date range and stone id range and status, sorted by status then sorted by stone ID within each status.
An unfiltered report will return all scans in the database.
An unsorted report will return all matching rows in the order they were entered into the database, typically by the date reviewed. Range option lists: There are fields that allow filtering with a start/lowest and end/highest range by entering information in fields or by choosing from option lists. The range fields include date (date reviewed), stone id, weight (carat weight entered at time of scan), white light scale, color light scale, and scintillation scale. The start/lowest range must be lower or the same as the end/highest range or an error message will be displayed. For all of these ranges there are three options:

'Special' status choices include 'Unresolved Rejected' and 'All Rejected' which must be selected by themselves with no other status selections or an error message will be displayed. Unresolved Rejected returns all rows for rejected scans that have not been followed up with an approved scan. This is a great way to get a list of all stones that need to be rescanned, but it can become cluttered with rejections for Invalid Stone ID. The reason for including Invalid Stone ID is so a slightly misnamed stone ID can be identified, renamed, and resent for approval. These rejections for Invalid Stone ID can be eventually filtered out by using the Date Range filter in conjunction with Unresolved Rejected filter. All Rejected will return all rejected scans, regardless if they are followed up with an approval or not. This is available for identifying rejection trends that may be associated with certain cuts, certain BrillianceScopes, certain BrillianceScope operators, etc. |

The 'Report Tracking' page allows you to create very specific reports for GemEx Light Performance Analysis reports that have been produced.
The report content and sort order is controlled by entering filter information. Multiple filters may be selected at the same time.
For example, a report can be filtered by date range and stone id range and status, sorted by stone id then by status descending.
An unfiltered report will return all GemEx reports in the database.
An unsorted report will return all matching rows in the order they were entered into the database, typically by the date the report was made. Range selection option lists: There are fields that allow filtering with a start/lowest and end/highest range by entering information in fields or by choosing from option lists. The range fields include date (date made or date shipped)and stone id. The start/lowest range must be lower or the same as the end/highest range or an error message will be displayed. Option boxes: There are also option boxes to select the status or retailer.. All selected filters and sorting options will be displayed on the screen so you can be certain that the report was filtered and sorted as desired, and also on print-outs so multiple reports can be printed out with details as to what each report contains. Downloaded reports do not include header rows or filtering/sorting information so they can be easily imported into a database without containing unusable rows, and the file can be saved with a file name that describes the report as desired. The 'Receiving' page allows you to change the report staus of a GemEx LPA report to CUSTOMER_RCVD. Using this receiving page for every report will easily help identify all of the reports that have not been received when performing a search on the 'Report Tracking' page. There are two ways of entering in report identification information: 1. The first is by scanning the barcode printed on the LPA report. 2. The second is by entering the stone id (or product id). Only exact barcode or stone id (or product id) matches will return matching rows. When a matching row is found, it is automatically updated to a report status of CUSTOMER_RCVD. |

| Overview: |
The 'Upload Orders' page allows orders to be directly submitted to GemEx in a user-friendly manner. The orders can be sent in a 'tab delimited' or 'comma separated' text file format, with or without quotes surrounding the individual field values. To overcome the several different text file column orders we receive, this page is designed to assign the text file columns to GemEx Field Names. For example, if the first column is the Stone ID entered at the time of scanning, the GemEx field Name 'Stone Scan ID' should be assigned to the first column. If the first row of the file contains header information instead of actual data that goes onto an LPA report, the profile should be saved with 'First Row Contains Header Information Only' checked. The column assignments determine how information is displayed on an LPA report. Once these columns are assigned to GemEx Filed Names, the column assignment order can be saved in a Column Assignment Profile for future uploads. As long as future uploads are in the same column order, and the file's header row is consistent with the saved profile, the profile does not need to be edited. There can be many saved profiles for different text file formats, but only one is the default profile. When the first Column Assignment Profile is saved, it automatically becomes the default profile. Once a default profile exists, all future text file uploads will be automatically set to the column assignments from the default profile. If the default profile is not correct for the uploaded text file, a different saved profile can be selected or the column assignments can be modified by clicking on the 'Edit Column Assignments' button. When any changes are made to the column assignments, options will be available to save a new profile, overwrite the selected profile, or skip saving the changes. Some profiles may be locked by GemEx Systems, Inc. so they cannot be edited. This is done for orders that are specifically set up to be submitted through automated processes. |

Please note that it is not necessary to use all of these GemEx field names when submitting an order. The minimum requirement for a report is 'Stone Scan ID'. In many cases, a multi-stone report will require a 'Product ID / Stone Group ID' along with the individual 'Stone Scan IDs' in the set. To avoid delays in processing an order, it is important that the 'Stone Scan ID' in the order text file matches the 'Stone Scan ID' exactly the way it was approved. |

The default text size (also known as font size) depends on the type and version of the Internet browser being used. These instructions are intended to assist in making our web site more readable and therefore more user friendly. Please note that the page layout will be altered as the text size is changed. Please refer to the 'Help' item at the top of your browser window for more details.

On the 'Find Similar Stone IDs' page, the 'Scan Results' page, and the 'Report Tracking' page, the reports can be printed by clicking the 'Print' button at the top of the displayed report. Only the current page will be printed. If the found set is larger than the number of displayed rows, the report will be broken up into multiple pages. To increase the number of rows per page, enter a larger number in the Display Rows field, then click the New Search/Sort button. If the report text does not fit on the page, try printing in a landscape layout instead of a portrait layout (in most cases the print layout can be changed by clicking the Properties button on the print dialog window) and/or decrease the text size. All selected filters and sorting options will be displayed on the printed report so you can be certain that the report was filtered and sorted as desired, and also so multiple reports can be printed out with details as to what each report contains.

If a stone is dirty, the light scales will not be accurate or repeatable.
A stone can be rejected for 'Appears Dirty' for the following three resons:
This occurs when the default separation is incorrectly set, or when the separation needs to be temporarily adjusted for the diamter of the stone currently being scanned. When the sparation is not set correctly, the outline of the stone is incorrectly detected. Incorrectly adjusted separation may also cause a scan to be rejected for Wrong Shape. Please refer to the following document for example images of Bad Separation and instructions to change the separation value by clicking on the link: Adjusting the Separation Value
This applies for companies that require the light scales to meet a certain requirement. Examples currently in use are:
Scans rejected for 'Duplicate' can be one of two reasons:
This applies for companies that have set up one or more programs with specific prefixes and/or suffixes for their stone IDs. This typically requires a certain number of characters within the stone ID for each prefix/suffix, and in most cases we will not take the liberty of renaming the stone IDs ourselves.
This applies for companies that require that the color and clarity gets entered into the BrillianceScope Analyzer program at the time of the scan, and this information is included in the GemEx LPA report. In this case the scan is rejected if either the color or clarity is missing.
This applies for companies that require that the carat weight gets entered into the BrillianceScope Analyzer program at the time of the scan, and this information is included in the GemEx LPA report. In this case the scan is rejected if the carat weight is missing.
When a stone is not centered on the screen in the BrillianceScope Analyzer program, or if the BrillianceScope Analyzer itself is not centered properly during a factory calibration, a scan may be rejected for 'Not Centered'. If a stone is not centered, the light scales will not be accurate or repeatable. There is a range of tolerance for this, and depends mostly on the size of the stone being scanned. Larger stones are more obvious when they are not centered than smaller stones. Please refer to the following document by clicking on the link: Examples of Not Centered
This is typically due to an error that occurred with the BrillianceScope Analyzer program that causes a scan to look unacceptable. This rejection reason is not very common, and we are continously improving the BrillianceScope Analyzer program so this is becoming more rare.
Scans are rejected for 'Previously Approved' when a stone ID that has already been approved is submitted for approval again. Scans rejected for this reason should not be rescanned or resubmitted for approval. Unless arrangements are made ahead of time, we cannot determine if the original scan should be replaced or if this is an error on the customer's part where two or more stones were labeled with the same stone ID. In most cases an LPA report has already been made for the first scan, and having two different LPA reports with the same stone ID but different stones is against our general policy. If a reprint request came in for a stone ID with two different stones, we could not be certain which is the correct scan. If a reprint of an LPA report is required the stone should not be rescanned, but instead a request can be made to have the LPA report reprinted.
Scans will be usually be rejected for this reason in groups of stones scanned on the same BrillianceScope Analyzer. In most cases the light views have green or red hues that are not normal in one or more light views. This usually indicates that the BrillianceScope Analyzer should first be calibrated with an xCalibration, and then followed up with a factory calibration if the problem does dissappear. On occasion it is determined that there is a faulty component on the BrillianceScope Analyzer, which requires one or more parts to be shipped to the customer's location for replacement. Before a determination can be made for replacement of a faulty component, both an xCalibration and a factory calibration must be performed as well as scanning and submitting a few stones afterward for our review. If a stone moves during the middle of the scanning process, the light scales will not be accurate or repeatable. This can be caused by bumping the BrillianceScope Analyzer during the scanning process, or loose parts inside the BrillianceScope Analyzer that causes excess vibration. When a scan is analyzed by the BrillianceScope Analyzer program, the outline is determined from sampling the stone in all six light views. When the stone moves, the outline is skewed which causes what we call 'noise'. Noise can severely alter the scales incorrectly.
